These Terms & Conditions govern your use of the Smarrt Bookings website and our accommodation enquiry, booking, and related services.

By using our website, submitting an enquiry, requesting accommodation, or entering into a booking with us, you agree to these Terms & Conditions.

1. About Smarrt Bookings

Smarrt Bookings Ltd provides workforce and corporate accommodation solutions for businesses, contractors, tradespeople, project teams, and other professional travellers.

Our services may include arranging short-term and long-term accommodation, furnished accommodation, accommodation for individual workers or teams, and tailored housing solutions depending on the requirements of the customer.

We operate across locations in the UK and may also arrange accommodation in other European locations depending on availability and project requirements.

2. Accommodation Enquiries

Submitting an enquiry through our website does not automatically constitute a confirmed booking.

Accommodation availability, pricing, location, dates, occupancy, property requirements, and other booking conditions will be confirmed separately by Smarrt Bookings.

We reserve the right to request additional information before confirming an accommodation arrangement.

3. Booking Confirmation

A booking will only be considered confirmed once the relevant booking details have been agreed and confirmation has been provided by Smarrt Bookings.

The booking confirmation may include:

  • Property or accommodation details

  • Check-in and check-out dates

  • Number of guests or workers

  • Applicable rates

  • Payment requirements

  • Cancellation conditions

  • Check-in arrangements

  • Property-specific rules or requirements

Customers are responsible for reviewing the booking confirmation and notifying us promptly of any errors.
 

4. Pricing and Payment

Accommodation prices may vary depending on the property, location, dates, length of stay, number of occupants, availability, and other requirements.

Where applicable, payment arrangements, deposits, invoices, and payment deadlines will be communicated to the customer before or during the booking process.

Customers are responsible for making payments by the agreed deadline.

Failure to make a required payment may result in cancellation or suspension of the accommodation arrangement, subject to the applicable booking terms.

5. Corporate and Workforce Bookings

Smarrt Bookings may arrange accommodation for companies, contractors, construction and engineering teams, infrastructure workers, corporate travellers, and other professional groups.

Where a company makes a booking on behalf of employees, contractors, or other guests, the company is responsible for ensuring that the guests comply with the applicable accommodation rules and booking conditions.

6. Guest Responsibilities

Guests must:

  • Treat the accommodation and its contents with reasonable care.

  • Follow property-specific rules and instructions.

  • Respect neighbours and the surrounding community.

  • Keep the accommodation reasonably clean and orderly.

  • Use the property only for the agreed purpose.

  • Comply with applicable laws and safety requirements.

  • Report damage, maintenance problems, or other issues promptly.

  • Follow check-in and check-out instructions.

Guests must not use accommodation for unlawful activities or activities that could cause unreasonable damage, nuisance, or disruption.

7. Damage and Loss

Customers and guests may be responsible for damage to accommodation, furnishings, fixtures, equipment, or other property caused by their actions, negligence, or failure to comply with the applicable accommodation rules.

Where appropriate, Smarrt Bookings may seek reimbursement for reasonable costs resulting from damage, loss, or additional cleaning caused by a customer or guest.

8. Occupancy

Accommodation may only be occupied by the number of guests agreed during the booking process unless Smarrt Bookings or the relevant property provider has authorised otherwise.

Guests must not transfer, sublet, or otherwise provide accommodation access to unauthorised persons.

9. Check-In and Check-Out

Guests must follow the check-in and check-out instructions provided for their accommodation.

Check-in and check-out times may vary depending on the property.

Failure to follow the agreed check-out procedure may result in additional charges where such charges have been communicated or are permitted under the applicable booking terms.

10. Changes and Cancellations

Requests to change or cancel a booking should be submitted to Smarrt Bookings as soon as possible.

Cancellation charges, refund eligibility, notice requirements, and other consequences may vary depending on the accommodation provider, booking arrangement, length of stay, and terms agreed at the time of booking.

The specific cancellation terms applicable to a booking will be communicated to the customer where applicable.

11. Accommodation Availability

Smarrt Bookings will use reasonable efforts to provide accommodation that meets the requirements agreed with the customer.

However, accommodation may occasionally become unavailable due to circumstances outside our reasonable control.

Where this occurs, we will use reasonable efforts to provide a suitable alternative or communicate available options to the customer.

12. Property Information

We aim to provide accurate information about accommodation, including location, facilities, furnishings, and other relevant features.

However, photographs, descriptions, facilities, and other property information may change over time.

Minor differences between photographs or descriptions and the actual accommodation do not necessarily constitute a failure to provide the agreed service.
 

13. Third-Party Accommodation Providers

Smarrt Bookings may work with property owners, landlords, accommodation providers, agents, and other third parties to arrange accommodation.

Where a third party provides the accommodation, additional property-specific terms or rules may apply.

Customers and guests must comply with those applicable requirements.
 

14. Website Use

You agree to use the Smarrt Bookings website lawfully and responsibly.

You must not:

  • Attempt to gain unauthorised access to the website or its systems.

  • Introduce malicious software or harmful code.

  • Use the website for fraudulent purposes.

  • Submit false or misleading information.

  • Interfere with the operation or security of the website.

  • Copy or reproduce website content without appropriate permission.

15. Intellectual Property

If you experience an issue with your accommodation or our service, please contact Smarrt Bookings as soon as possible.

 

We will review the matter and work with the customer and relevant accommodation provider, where appropriate, to seek a reasonable resolution.

19. Privacy and Data Protection

Personal information submitted through our website or provided during the enquiry and booking process will be handled in accordance with our Privacy Policy.

Our Privacy Policy explains how we collect, use, store, and protect personal information.

20. Changes to These Terms

Smarrt Bookings may update these Terms & Conditions from time to time.

The latest version will be published on our website and will include the date on which it was last updated.

21. Governing Law

These Terms & Conditions shall be governed by the laws of England and Wales, unless applicable law requires otherwise.

 

Any disputes will be subject to the applicable courts of England and Wales, subject to any mandatory rights available to consumers or other customers under applicable law.
